Terms and Conditions

General

All children, young people, volunteers, and staff are expected to behave appropriately during all sessions, trips, and on entrance and exit to ensure YOH and the surrounding area remain a positive place to be. Young people that misbehave may be temporarily or permanently excluded from activities.

During our sessions, we are responsible for providing a safe environment for learning. We will ensure suitably qualified staff lead sessions and that they are regularly DBS checked. We want to keep YOH a great and relevant place for people, so we would encourage you to send us feedback via info@yoh.org.uk or by asking a staff member for a feedback form. Feedback may be sent to us anonymously.

GDPR

During sessions, pictures, videos, and quotes may be taken for monitoring purposes or for use on our marketing materials, including social media. You will be asked if you consent to us taking pictures or videos that may include your child.

Other data (including registration and developmental progress) is recorded for contractual purposes and for providing a high-quality service. Please let us know immediately if any of your details change. After your membership has ended, some data will be securely destroyed within 18 months. Some data will be archived for safeguarding purposes. Archived data will be securely stored and only accessible for legal purposes. Data that has been used/published may not be removed after leaving YOH (e.g., social media posts that have used an image of a young person).

Conditions of Use:

• This form is valid indefinitely from the date you sign it. It is your responsibility to let us know if you want to change or withdraw your agreement at any time. Historic photographs or videos may remain on our social media feeds.

• We will not use the personal details or full names (which means first name and surname) of any child in a photographic image on video, on our social media or any publicly available media.

• We may use group or class photographs or footage with very general labels, such as “Summer Trip” or “making Christmas cakes”.

• We will only use images of students who are suitably dressed.

• Websites can be viewed throughout the world and not just in the United Kingdom, where UK law applies.

• Parents/guardians' consent will be recorded on the centre's Customer Relationship Management system and will be retained no longer than necessary for the purpose the data was obtained for.

As the child’s parents/guardians, you agree that if you take photographs or video recordings of your child, which include other young people, you will use these for personal and family use only, and you will not post on any personal social media accounts. You understand that where consent has not been obtained from the other parents for any other use, you would be in breach of the Data Protection Act 1998 if you used the recordings for any wider purpose.
